GXC Champion Programme Terms & Conditions

Applies to: The GXC Champion (Affiliate) Programme (the “Programme”).

These terms apply to all approved participants in the GXC Champion Programme. Enrollment in the Programme constitutes acceptance of these Terms in addition to the Attendee Terms & Conditions above.

Eligibility & Approval

Participation in the Programme is subject to approval by Exchange Events. Exchange Events reserves the right to approve or decline any application at its sole discretion.

Champions must provide accurate registration and payment information. Exchange Events reserves the right to suspend or terminate participation where information is incomplete, inaccurate, or misleading.

Commission Structure

Approved Champions will receive a flat-rate commission of $50.00 USD for each qualifying ticket purchase made using their unique tracking link or personalised discount code.

Commissions apply only to completed ticket purchases that are fully paid and not subject to refund, chargeback, cancellation, or fraudulent activity.

Commission Payment Terms

Commissions will be calculated based on net ticket sales received and retained by Exchange Events.

No commission shall be payable on:

Refunded tickets

Chargebacks or disputed transactions

Complimentary or transferred tickets

Tickets purchased in violation of these Terms

Commission payments will be issued in accordance with the payment schedule communicated within the Champion portal and are subject to applicable tax reporting requirements.

Exchange Events reserves the right to withhold payment where fraudulent, deceptive, or improper activity is suspected.

Refunds, Transfers & Event Changes

All ticket sales remain subject to the Attendee Terms & Conditions above, including refund, cancellation, transfer, postponement, and force majeure provisions.

Where a ticket sale is reversed under those Terms, any associated commission will be voided.

Promotional Guidelines

Champions may promote GXC Events using their unique tracking link and approved marketing materials.

Champions may not:

Misrepresent the Event, its speakers, pricing, or benefits

Imply employment, partnership, or endorsement beyond participation in the Programme

Use paid advertising targeting official GXC branded keywords without prior written consent

Modify official logos, trademarks, or marketing materials

Engage in spam, misleading, or unethical marketing practices

Exchange Events reserves the right to request removal of any promotional content deemed inaccurate, inappropriate, or inconsistent with brand standards.

Intellectual Property

All intellectual property rights, including trademarks, logos, and event materials, remain the sole property of Exchange Events.

Participation in the Programme grants a limited, revocable, non-exclusive license to use approved promotional materials solely for the purpose of promoting the Event under this Programme.

No ownership rights are granted.

Termination

Exchange Events reserves the right to terminate a Champion’s participation in the Programme at any time, with or without cause.

Upon termination:

All promotional use of GXC intellectual property must cease immediately

Any unpaid commission may be forfeited where breach of these Terms has occurred

Limitation of Liability

Participation in the Programme is at the Champion’s sole risk. To the maximum extent permitted by law, Exchange Events shall not be liable for indirect or consequential losses arising from participation in the Programme.

Total liability shall not exceed commissions earned and payable under these Terms.

Governing Law

These Programme Terms shall be governed by and construed in accordance with the laws of the State of Connecticut, consistent with the Attendee Terms & Conditions.

GXC Champion Programme Privacy Addendum

This section applies specifically to individuals participating in the GXC Champion (Affiliate) Programme (the “Programme”).

Information Collected for the Champion Programme

If you apply to or participate in the Programme, we may collect and process additional information including:

Name, email address, and contact details

Payment information required to process commission payments

Tax information where required for reporting purposes

Unique tracking link data

Performance metrics related to ticket sales generated through your link or discount code

IP address and device data associated with affiliate tracking

We use Refersion (our affiliate management platform) to administer the Programme. As part of this process, tracking technologies such as cookies, unique referral links, and similar tools may be used to attribute ticket purchases to Champions accurately.

Refersion processes data in accordance with its own privacy policy and data protection obligations.

How We Use Champion Data

We use Champion data to:

Administer and manage the Programme

Track qualifying ticket sales

Calculate and process commission payments

Prevent fraud or misuse of tracking links

Communicate Programme updates and administrative information

We will not sell Champion data to third parties.

Tracking & Cookies

Participation in the Programme relies on referral tracking technology. When a prospective attendee clicks a Champion’s unique link, cookies or similar tracking tools may be placed on their device to ensure accurate attribution of ticket sales.

These technologies are used solely for Programme administration, analytics, and fraud prevention.

Data Sharing

Champion-related data may be shared with:

Refersion (affiliate management platform)

Payment processors for commission disbursement

Professional advisers or regulators where legally required

All third parties are required to process data in line with applicable data protection laws and contractual safeguards.

Data Retention

We retain Champion Programme data for as long as necessary to administer the Programme, comply with tax and financial reporting obligations, and resolve disputes.

Where required, data may be anonymized and retained for statistical or analytical purposes.
